Visa Information

The letter of invitation is provided only after you have completed registration for the conference and paid the conference registration fee.

If the invitation letter is needed for VISA purposes, please attach a copy of the first pages of your passport containing your personal and the passport data, and specify the following information:

• affiliation
• affiliation address or personal address to be indicated in the letter
• registration Confirmation ID
• accepted paper number (if applicable)
• accepted paper title (if applicable)
• any other details that the Italian Consulate in your country of residence requires for your VISA application according to the information you’ve received.

Invitation letters will state the following facts:

• Conference dates, title, location,
• Whether the requester is a committee member, speaker, presenter or attendee.

Letters cannot be issued for accompanying persons, even if they have paid the accompanying person ticket, if available.

The Conference cannot contact or intervene with any Embassy or Consulate office abroad on your behalf, so please begin your visa application process as soon as you determine that you want to attend WOLTE2026.

Please provide as much information as possible to avoid delays in receiving your letter.

Once the letter is issued, a refund cannot be granted per IEEE Policy.

Pursuant to art. 13 of EU Regulation No. 2016/679 (GDPR), the above personal data shall be processed exclusively in order to issue the visa support letter and by using proper measures to ensure confidentiality and avoid access by non-authorized third parties.
